Customer Service Representative



Job Description

Customer Service Representative - role is remote with the potential to become hybrid (one/two days in office/three days remote)

Purpose of Position:

Responsible for handling all incoming customer orders and inquiries.

Key Accountabilities:

• Provide high quality customer service for internal and external customers.

• Receive and process customer sales orders in accordance with ASK PDMS procedures.

• Coordinate inventory availability and delivery with Plant and Warehouse staff.

• Reconcile and invoice customer consignment inventory.
• Monitor & process the Sales Order Management Report.

• Use TMS to determine the route guide & freight rates for Prepay & Add shipments.

• Respond to both verbal & written incoming customer requests, such as; order status, billing inquiries, new product information, MSDS requests, Certificates of Analysis.

• Monitor delegated customer service issues, such as backorders & expedites, to ensure timely and accurate resolution.
• Apply appropriate communication techniques when responding to customers, particularly in stressful situations.
• Set up new customers; inform and educate regarding billing/invoicing set up and billing/payment procedures.
• Communicate externally (verbal & written) to complete follow-up on customer service requests as necessary.

• Process customer material returns using the Return Material Authorization (RMA) process.

• Process customer complaints using the AIRS quality management process.

• Track & process Returnable Packaging orders for returnable Containers, such as Cylinders & Totes.

• Identify and assess customers' needs quickly and accurately.
• Solve problems systematically, using sound business judgment.

• Other duties as assigned.

Education required

• A high school graduate; specific field may be substituted with equivalent experience; degree preferred

• Two years customer service experience

Experience, Know How, Skills, Personality

• Experience in manufacturing environment preferred

Preferred familiarity with computer applications such as SAP

• Attention to detail

• Ability to work in a team

• Listens effectively

• Strong written and communication skills

• Ability to trouble-shoot problems

• Knowledge of chemicals a plus

• Flexible to change
