The Sr. Administrative Assistant’s objective will be to support leadership within the OptumHealth organization. Primary functions include traditional administrative roles including document development, presentation development, maintaining calendars and setting up meetings, making travel arrangements, copying, greeting visitors, setting up files, tracking expenses, helping with logistics for internal meetings and market facing events. and coordinating business segment liaison duties.

Primary Responsibilities:

  • Must be professional and comfortable interacting with executive level leaders; must also be prepared to handle the complexity of coordinating travel, meetings and visitors at this level. This position will be supporting multiple SVP and VP level leaders
  • Manage calendars with ability to resolve multiple calendar conflicts
  • Manage meetings (scheduling, material preparation and distribution, coordinating remote participants)
  • Create or prepare meeting materials (e.g., PowerPoint deck; agendas) and ensure distribution to appropriate individuals in a timely manner
  • Schedule, coordinate, and/or set up resources and technology (e.g., conference rooms; food; WebEx; Telepresence) needed for meetings/events
  • Maintain and distribute lists as needed (e.g., organizational charts; email; distribution; vendor; contacts; phone)
  • Monitor or over-see internal office communications (e.g., email; calendar; phones) for internal team members and take appropriate action, as needed
  • Handle confidential information professionally and discreetly
  • Act as administrative process guru and resource for the team
  • Help onboard new team members
  • Perform Business Segment Liaison (BSL) activities, as needed (e.g., hardware/software acquisition/disposal, new employee on-boarding)
  • Schedule and make travel arrangements (e.g., airline; hotel; ground transportation; office space assignment)
  • Manage expense reimbursement
  • Enter and submit purchase orders into relevant systems (e.g., ARIBA) to purchase office supplies from pre-approved vendors
  • Work is frequently completed without established procedures
  • Self-directed and works independently
  • May coordinate activities for other leaders
  • Provide internal and external customer service to employees, vendors and clients

Required Qualifications:

  • High School Diploma / GED or higher
  • 2+ years of experience supporting senior leaders in an administrative capacity in a fast-paced environment
  • Proven experience delivering a high level of internal and external customer service
  • Experience successfully managing multiple priorities
  • Intermediate or higher level of proficiency in Microsoft Office suite: MS Word (create and edit correspondence), MS Excel (create, edit, and sort spreadsheets), MS Outlook (email and calendar management), and MS PowerPoint (create and edit slides)
