Organizational Development Administrator

Organizational Development Administrator - Contingent - Candidates Local to St. Louis MO only
POSITION SUMMARY: Provide excellent customer service and administrative support in the Organizational Development (OD) Department by owning and coordinating all logistics, pre and post learning activities efficiently and effectively to support the delivery of workshops and other OD development solutions and sites. Responsible for support of Learning Management System (LMS) and marketing of OD development solutions.
PRIMARY RESPONSIBILITIES:
• Administration and Support of Training Courses and Development Solutions: Manage all training logistics including scheduling classes and facilitators based on availability, making room reservations and ensuring room set-up, ordering and maintaining all materials, maintaining current vendor contracts. Set up, monitor and provide reporting for any associates assessments required for course pre or post work. Monitor low class enrollments and work with OD team to design and implement targeting marketing and communication to the organization. Provide reporting on class attendance, trends and other inquiries as needed. Maintain class evaluation metrics and provide reporting as required. Coordinate vendor agreement process on an annual basis.
• Coordinate the OD Marketing/Communication plan: Create OD Marketing/Communication and manage a comprehensive calendar with the dates of key company-wide events and deadlines for publications. Gather input from the OD team on which communication options they will be using for their projects and then tracking the communication plan by reminding the team of upcoming deadlines, monitoring volume and coordinating our OD communication with the broader HR communication team. Creating engaging marketing and communication for learning and training solutions for both print and digital media distribution. Measuring results of all marketing efforts and applying corrective action when and where applicable.
• Administration of the Learning Management System (LMS): maintaining class rosters and participant evaluations as subject matter expert on the functionality and full use of the LMS, including but not limited to creating classes, managing waitlists and request lists, managing class pre-work, post-work, evaluations and assignment of courses for mandatory training, etc. This also includes continuous learning about the full functionality of the LMS and how we can expand and fully utilize all applicable functionality.
• Assist with the Development and Tracking of the OD Budget: Track spending throughout the year and meet with the OD managers on a regular basis to review budget status and make needed adjustments. Submit vendor and supplier invoices for payment on a timely basis, investigate payment questions and respond to payment inquiries.
• Monitor and administer enrollment for Nomination Based Programs: Track and maintain applications, program acceptance and attendance for nomination-based programs. Provide communication and assistance to HR Business Partners and department managers during the nomination process and throughout the year regarding openings, cancellations, etc. Communicate acceptance to associates and provide program information as needed.
• Automation and Technology: Maximize Microsoft Office 365 and other technologies to continuously identify, learn and implement automation as well and better, more efficient ways of working
• Customer Service: Provide strong customer service to the OD team, HR team, associates, managers and vendors. This includes providing support regarding registrations, cancellations, reports, vendor requests, etc. Respond to any inquiries in a timely manner contacting the appropriate individuals and/or teams to resolve questions.
• Associate Development Center Backup: Serve as a backup for the associate development center as needed.
• Assist with other duties and special projects as assigned.
This role is for candidates local to St. Louis, MO only. They will need to be in the office Mon-Thurs with Fridays at home. Work schedule is typically 8am - 4:30pm but may have earlier start times a few times a month (7:00am Central).
This role is in a fast-paced Learning & Development environment but there are 3 other admins for support. The candidate must have experience in a Learning Management System (LMS eg Success Factors, Cornerstone). Proficient in MS Office including all aspects of MS Teams.
Candidate must provide excellent customer service, be willing to ask questions and seek info when needed, be forward thinking, not just task oriented. Must have good communication skills and be good at proofreading training materials.
Prefer someone who has some marketing experience and some project management experience.
Skills:
• Experience with other Microsoft Office 365 apps (Forms, One Note, Lists, Power Automate, Power BI, etc.) OR strong desire to learn and utilize these apps.
• Preferred experience with creating engaging marketing and communication for learning and training solutions, social platforms, Canva or similar software.
• Strong organizing skills, proficient at creating processes and checklists to ensure the consistent delivery of day-to-day responsibilities.

Associate degree or equivalent work experience

• Two or more years administrative work experience, preferred experience in an OD/Training and Development department
• Two or more years working with a Learning Management System (Cornerstone, On Demand, SuccessFactors, etc) or demonstrated experience with other HR systems.
• Demonstrated proficiency in Microsoft Suite programs: Outlook (scheduling meetings for themselves and others), Word, Excel (create and maintain spreadsheets with formulas), and PowerPoint (create and edit presentations) and TEAMS (using all functionality of the platform)
