Job Description

Eye Surgeons Associates, P.C. is currently seeking a Surgery Scheduling Supervisor! This position reports to the Chief Clinical Officer and provides direct supervision to the nursing/surgery scheduling department, a team of 2-4 Registered Nurses and 6-7 schedulers. The surgical scheduling supervisor is responsible for managing, supervising, and coordinating activities in the nursing/surgery scheduling department. Other primary responsibilities are performing those tasks required to schedule surgery or testing, assisting with medical correspondence regarding patients, and injecting intravenous medications for diagnosis or treatment.

Duties:

  • Maintain and update copy of Ophthalmologist templates for Surgery, laser and clinic appointments
  • Maintain up-to-date knowledge of Ophthalmologists’ preoperative and intra operative protocols for surgeries and lasers.
  • Obtain accurate and complete health histories (including ocular) as appropriate for specific procedure
  • Determine preoperative testing/medical clearance required for procedures and obtain them
  • Determine pre-certification/preauthorization required by insurance companies for procedures and obtain them
  • Assist patients in choosing appropriate procedure dates (consider patient preference, surgeon’s schedule, facility schedule, a need for medical clearance or insurance preapprovals)
  • Educate patients in preoperative preparation for specific procedures
  • Schedule testing, surgeries, lasers with appropriate facilities according to protocol required by them
  • Update preoperative and postoperative standing orders at surgical facilities as directed by ophthalmologists
  • Make referral appointments at tertiary care centers or other physicians and obtain referral authorizations if required
  • Inject intravenous dyes for diagnostic and therapeutic procedures
  • Monitor patients for allergic reactions to intravenous injections and treat as directed by ophthalmologists when they occur
  • Plan, direct, and supervise the daily operation of the nursing/scheduling department including being primary contact person for the department.
  • Develop and maintain protocols used for scheduling patients for scheduling patients for surgery, criteria for medical clearance and handling medical emergencies (in coordination with physician)
  • Design and update forms used in surgery scheduling department
  • Assist CCO in planning agenda for departmental meetings and other responsibilities as needed. Assist in training and staff development.
  • Provide regular feedback to employees on the performance and assist the department director in completing performance appraisals.
  • Discipline staff as necessary according to disciplinary process in personnel policies
  • Assist department director to staff each location with coverage necessary to serve the patients at that office. Adjust staff schedules throughout the work week to minimize overtime

Qualifications:

  • Minimum 3 years Supervising Direct Reports strongly desired
  • Registered Nurse Preferred (Iowa and Illinois) - Other Healthcare Administration Professions considered

This is an hourly, non-exempt supervisory position which requires availability M-F 7a-6pm. Regular travel to each office location is required to supervise our mobile workforce. Compensation is posted at entry-level rates. Pay will be determined based on a combination of your individual qualifications including experience and education. ESA is an equal opportunity employer.
