We currently have an exciting opportunity available for an experienced Residency Program Manager!

Responsibilities

The Residency Program leader manages the day-to-day operations of the residency and/or fellowship program and serves as the liaison with Residents/Fellows, faculty, other staff members, attending physicians, administration, outside institutions and Clinical Program Director(s), the DMC Graduate Medical Education Office (DMC GME Office), and the Accreditation Council for Graduate Medical Education (ACGME) or other accreditation body overseeing the program. The Residency Program Leader must possess skills in leadership and personnel management and manages educational activities for incoming and current residents and assures program compliance with regulatory agency standards.

Essential Duties and Responsibilities
  • Serves as tactical leader in supporting the Clinical Program Director with daily operations of the department, including scheduling, communications and reporting, documentation and media for meetings and conferences.
  • Assist with recruiting residents with campaign planning, application process and review, scheduling and coordinating interviews, establishing, and maintaining data files, and corresponding with candidates. Assists with preparation of applications and inspection materials.
  • Direct implementation of goals and requirements for resident training programs in compliance with the American Osteopathic Association's and Accreditation Council for Graduate Medical Education Training Requirements and arranges site visits by various institutions. Maintains a working knowledge of student and resident requirements and department/site resources.
  • Supervises collection of data fulfilling American Osteopathic Association and other licensing and credentialing boards; prepares reports and compiles statistics.
  • Verifies training and processes letters of recommendation for current residents as well as past residents; prepares correspondence relative to program.
  • Lead and oversee the planning and organization of resident graduation, including securing facility, identifying menu, generating invitations, and developing graduation program.
  • Coordinates monthly didactic schedule, which includes identifying speakers, assisting with presentations, and frequently communicating with attending physicians. Collects lecture evaluations and prepares summary reports, maintains lecture attendance records and documentation, corresponds with program faculty.
  • Coordinates the annual review process
  • Prepares contracts for new and existing residents and program directors via submission of contracts for CME credit approval for physician.
  • Tracks and maintains documentation of compliance requests for residents such as BLS, HIPAA, OSHA, immunization records and personal health and malpractice insurance to assure confidentially and compliance.
  • Develops and maintains resident tracking software
  • Maintains current data such as evaluations, examinations, schedules, procedure logs and conference attendance.
  • Mentor employees, conduct performance evaluations, counsel and provide disciplinary actions to assigned personnel, and works to facilitate individual and team development that drives positive results.
  • Plays a major role in setting the goals and objectives for their department in direct consultation with top management.
  • May develop medical student rotation schedules, coordinates visiting medical student rotations and collects student evaluations. Corresponds with designated colleges and universities as needed.
  • Maintains and oversees time and attendance records for residents and other healthcare personnel as needed.
  • Prepares and distributes rotation, vacation, call and lecture schedules.
  • May assist with agendas, minutes, schedule meeting rooms, set up videoconferences and webinars, organize materials for resident/student orientation as well as Medical Education Committee Meetings
  • Updates resident information files, both hardcopy and online.
  • May prepare and approve book/travel requests and special request orders.
  • Orders supplies and lab coats as needed and prepare disbursement orders for material purchasing.
  • Maintains essential documents required for program viability
  • May review budget analysis for accuracy.
  • Attend program coordinator meetings and trainings provided by the DMC GME Office.
  • Attend DMC GME Program Coordinator meetings.
  • Other duties as assigned

Qualifications

  • Analytical ability to gather and interpret data, to identify discrepancies, problems, or issues, to obtain advice when precedents are unclear or unavailable and to determine methods for ensuring compliance with functional/organizational/service policies and procedures.
  • Ability to read and comprehend procedures and technical literature in specific functional area
  • Project management skills including the ability to define program, project, or process objectives, identify stakeholders and their interests, plan steps, coordinate and allocate human, technological, and fiscal resources to accomplish goals and objectives in a resourceful yet timely manner.
  • Knowledge of AOA and ACGME accreditation standards and medical terminology
  • Strong communication skills with internal and external customers/stakeholders.
  • Ability to resolve conflict with people within the unit/function.
  • Courtesy and listening skills are required.
Education/Experience
  • Bachelor's Degree from a four-year college or university with 10 years of related work experience
  • Associate's Degree with 12 or more years progressive experience, or the equivalent combination of education and/or experience.
  • 5 years' experience in medical education environment strongly preferred
  • 5 years' experience in recruiting, marketing, sales, or event planning preferred
Computer Skills

To perform this job successfully, an individual should have knowledge of:
  • Very proficient in Microsoft Office Suite, specifically Word, Excel, and PowerPoint, and ADOBE Suite
  • Experienced using New Innovations Database for personnel records and resident schedules
  • Proficient with ACGME Accreditation Data System (ADS)
