Coordinator

Our client, an investment company, is looking for an experienced Coordinator to support executives and other senior team members within the company in downtown Chicago. In this position, you must be flexible and have the ability to multi-task, make decisions in a fast-paced environment and be willing to pitch in wherever needed. This position pays anywhere from $75k-$95k based on experience.


Responsibilities:

  • Heavy calendar management; manage executive and team calendars with accuracy and attention to detail
  • Travel planning and coordination for domestic and international travel for senior team members
  • Track, organize and submit expense reports for senior team members via Concur
  • Collect and enter contacts and relevant information into CRM
  • General administrative support and ad-hoc projects
  • Provide administrative back-up support for other members of the team
  • Manage the team's inventory of marketing materials; bind presentation materials (as necessary)
  • Participate in activities involved in running a smoothly operating team


About You:

  • Bachelor's degree or equivalent education required
  • 3+ years of experience in a similar capacity is preferred; financial services industry preferred
  • Experience booking complex, global travel
  • Experience with expense reporting (knowledge of Concur a plus)
  • Excellent computer skills, including Microsoft Office suite; previous experience using a CRM program
  • Excellent verbal and written communication skills
  • Demonstrated planning, organizational, implementation and follow-up skills required
  • Detail-oriented, meticulous, highly accurate
  • Friendly, upbeat, pleasant demeanor; good at building alliances and possesses a helpful, client support attitude
  • Capable of exhibiting diplomacy and discretion when handling confidential and sensitive information
  • Strong work ethic, flexible with regard to hours, available after hours on cell phone if needed
  • Ability to manage changing demands in fast-paced environment with strong multi-tasking skills
