Essential Duties & Responsibilities
- Manage the CEO office in a manner that relieves CEO of non-executive tasks. Primary responsibilities include heavy and complicated calendar management; coordinating executive logistics such as meetings, phone calls, public appearances, and travel arrangements; and organization-wide scheduling as required by the CEO.
- Prepare the CEO for meetings, public appearances, conferences, and special events, often collaborating with staff across the organization and with external contacts.
- Conduct research and analysis for special projects as needed.
- Represent the CEO's office professionally and credibly with all internal and external audiences. Maintain a high level of confidentiality and professional demeanor at all times. Ensure all communications to and from the CEO from both internal and external audiences are handled appropriately and with a sense of urgency and sensitivity.
- Prepare, edit and/or proofread professional correspondence for CEO, including memos, emails and letters with accurate grammar, spelling, and punctuation.
- Manage board of directors and board committees, including communications, meeting-planning, documentation and record-keeping, including meeting minutes, meeting notices, pre-read packets, and other board communications as needed.
- Collaborate with various departments to execute special events sponsored by the CEO's office.
- Assist with annual CEO budget development and track monthly department expenses. Reconcile monthly CEO credit card statements.
- Maintain effective and efficient filing system and mail system for the CEO.
- Participate in special events and projects as assigned.
- Provide backup support to other executive and administrative assistants as needed.
- Required to occasionally attend off-site GSGLA events and activities.
- Perform general administrative and other duties as assigned.
Skills / Experience / Other
Qualifications (Minimum Education and Experience)
- Bachelor's degree in Administration or business-related field
- Minimum eight (8) years of experience supporting executives with demonstrated ability to maintain confidential documents, correspondence, and discussions.
- Experience in non-profit organizations preferred.
- A minimum of 2 years of experience working with boards.
- Ability to demonstrate on a consistent basis initiative, professionalism, poise, flexibility, and work in an environment of frequent interruptions.
- Ability to manage multiple assignments, organize and set priorities, and adapt to changing conditions.
- Must exercise independent judgement, work independently, and take initiative on assignments that are time sensitive in nature.
- Must be a results-driven achiever with exceptional interpersonal skills including excellent oral and written communication skills.
- Advanced skills in Outlook and Microsoft Office (Word, Excel, PowerPoint) required. Familiarity with SharePoint Server and SAP Concur a plus.

Physical Requirements
- The incumbent is in a non-confined office-type setting in which he or she is free to move about at will. The environment for this position is mostly clean and comfortable but may include some minor annoyances such as noise, odors, drafts, etc. while performing this work, the incumbent:
- Will spend time sitting, utilizing the computer.
- Will spend time standing/walking throughout the facilities.
- Must travel via personal vehicle or public transport to various facilities throughout the region.
- May lift to 15 lbs. periodically. If more, the incumbent must request assistance.
- The incumbent must be able to perform this job safely, without endangering the health or safety of him/herself or others.
