B. General

The Employee Travel Coordinator- This is a dynamic and exciting position that will allow you to learn all aspects of the structure in airline operations. Your duties include assisting all employees with the need for travel, meeting space or training. You will brief and debrief flight crews on personal and operational issues while managing Crew Customs documentation.


Duties and Responsibilities

The duties of the Employee Travel Coordinator are:

• As an Employee Travel Coordinator, you will primarily be responsible for overseeing the day to day booking companywide (commercial or corporate) travel and general audit of crewmember and Maintenance hotels, ground transportation and deadhead/offline travel even outside of the day to day operations. This position is responsible for any employee travel interactions.
• Receive travel requests, research, and determine the best and most economical means of travel for Eastern on commercial, corporate aircraft, or other transportation via company travel services reservations system connected to a national travel database
• Book appropriate reservations (airline, hotel, and ground transportation) for associates and ensure all necessary information and forms are provided to traveler prior to travel
• The Employee Travel Coordinator is responsible for creating and reviewing detailed analysis to support decisions that ensure Eastern is receiving the highest quality hotels, hotel transportation and car rental services at the most competitive price.
• This position assists in managing the hotel and transportation budget.
• Ensure hotel properties utilized for crew are in accordance with the rules and regulations of the crew labor contracts and provide crew services of any new cities or hotel changes.
• Crew Rooms – work with Eastern’s Third Party Service Provider to ensure adequate and safe hotel and transportation companies, when applicable, are contracted for scheduled crew, irregular operations and Pilot and Flight Attendant Training.
• Communicate changes to hotel and car rental agreements to all departments of the company for business and employee use as applicable.
• Review and approval of scheduled crew hotel and transportation invoices by verifying rates, rooms billed and total transportation trips. Follow up and resolve outstanding issues with internal customers and Third Party Service Provider for invoice discrepancies.
• Ensure additional hotel and transportation requirements are contracted, in addition to crew, for Customer Service and Pilot and Flight Attendant training departments for new hire, recurrent and SIM training.
• Provide education and work with all departments on requests for meeting space to ensure optional use of internal meeting space and competitive rates for outside meeting space requirements.
• Provides support and assistance to all levels of management, and various departments as needed, related to hotel stays, meeting space and car rentals. Coordinates travel for new hires and candidates that are interviewing for various positions.
• Irregular Operations support – work proactively with Third Party Service Provider to ensure contracts are in place for high demand markets with historical needs for irregular operations.
• Provide assistance, as required, to SOC to support irregular operations for the areas of crew hotels or transportation.
• Maintain company policies and procedures as related to Corporate Travel including development and documentation for Business Continuity.
• Review files to maintain and adhere to Document Retention policies and adjust as needed.
• Create and maintain materials to conduct training, as needed, for corporate travel supplier software.
• Maintain Corporate Travel files in contract management system. Audit all business travel bookings to ensure accuracy. Adhere to all company policies and procedures. Any other duties as requested by the Manager of Crew Resources.

C. Qualifications

• High school diploma or general education degree (GED)
• Able to demonstrate problem-solving skills and good judgment at all times;
• Ability to work any shift, including evenings, weekends, holidays, and overtime as needed. May be contacted 24 hours a day, including weekends, by employees regarding changes in travel arrangements

• Reliable and self-motivated with a positive attitude;
• Able to multitask efficiently and effectively to meet deadlines;
• Interpersonal, written, and verbal communication skills;
• PC proficient in Microsoft Office products and general internet applications;
• Ability to read, write, speak and understand English
• Experience and thorough knowledge in the travel industry
• Ability to work within specific time limitations and with extreme accuracy
• Strong organizational, communication, and human relations skills
• Ability to multitask in a fast-paced environment while maintaining accuracy and solving problems
• Previous airline/travel industry experience is preferred
• Pass a two (2) year drug and alcohol background check, pre-employment drug test, and criminal history records check (CHRC)
• Eligible to work in the United States
