Key Responsibilities:

Indicia’s Implementation Specialists are responsible for the success of the on-boarding process and implementation of projects, through their lifecycle, for our clients: new or existing; external and internal; with or without a technology focus.

• Conducting analyses, requirement gathering sessions and driving insights from stakeholder meetings, process mapping, data and market research.

Collaborating with the sales, customer care and technical integration teams, as well as the account management, the implementation specialists provide governance, expertise and thorough planning to ensure a successful implementation and/or onboarding experience for our clients.

• Engaging with external and internal clients across the Indicia Worldwide business consultatively to understand their needs and pain points, diving deep into their existing technology, tools, processes, analytics and people structures

While most projects follow a general pattern, some will have unique requirements which will need flexibility and creative thinking to develop a solution. The specialists will plan and facilitate regular, recurring project management meetings to ensure client expectations are being managed accordingly. They are responsible for managing both operational and commercial risk to ensure that implementations are completed on time, to the budget, and meet the client’s expectations and requirements – to the benefit of Indicia Worldwide.

Change management, quality and satisfaction of your stakeholders:

• Proactively identifying the issues and risks faced by the projects, identifying the resolution and mitigating actions required, and escalating accordingly.

• Ensuring stakeholders’ satisfaction through constant communication and other change management principles.

• Being open to stakeholder feedback and flexible to readjust project plans.

• Prepare and deploy communication plans at different organizational levels.

Driver of Continuous Improvement initiatives:

• Working closely with the Data and Insights teams, design, drive and deliver value-added strategic continuous improvements and process enhancing initiatives.

• Coordinating the implementation across all markets of set-ups being identified as the way forward.

• Key target areas are people (upskilling, training), ways of working and processes, technology, data and reporting.

• Selecting and building accountable, cross-functional project teams. Defining roles and responsibilities, assigning tasks and deadlines and empowering team members to achieve their goals.

• Monitoring progress and ensuring on-time and on-quality deliverables.

• Managing day-to-day operational aspects of the projects.

• Adjusting project plans and reallocating resources as needed.

• Reporting and Documentation

• Reporting to teams and stakeholders, escalating to management as needed.

• Creating and maintaining comprehensive project documentation.

The Implementation specialists are often involved in pre-sales product demonstrations and are required to travel to and work on-site in various client locations during ramp-up.

Day to day tasks:

The Implementation specialist is expected to …

  • … plan, schedule, and manage project timelines and facilitate regular, recurring project management meetings from start through to completion, to ensure each project is delivered on time, within budget, and satisfies the desired outcomes as well as client expectations;
  • … support account teams by offering training and production support during optimisation efforts;
  • … track, measure, and report back to the management team on the status of each project or activity.

About you:

• You have superior organisational skills and acute attention to detail, especially when working on multiple concurrent projects;

• You possess a high level of customer empathy and have a passion for delivering real business value to customers;

• You have strong communication skills, both written and verbal, and are able to develop and document high-level strategies for accomplishing project objectives;

• You have a good understanding and experience of managing multiple, complex internal and external relationships;

• You are a proactive problem-solver and able to work in a fast-paced environment while focusing on quality and not cutting corners;

• You must be happy to work with multiple teams and prepared to take on projects outside of your typical day-to-day if and when required;

• You must be proficient with technology (e.g. MS Excel, MS Word etc.).

• Ideal Smartsheet, Prince2 and Agile

• Ability to travel
