Child Care & 4K Program Administration Assistant
Job Description
Position Summary:
Under the direction of the Child Care Assistant Director, the Child Care/4K Administrative Assistant will provide support for all areas of the Child Care and 4K programs within the policies of DCF and the Kettle Moraine YMCA.
Essential Functions:
- Follows the DCF Wisconsin Licensing Rules for Group Child Care Centers.
- Communicates with staff, families and the general public regarding program information, registration and tours.
- Files License/Youngstar/Registry applications and requirements.
- Maintains staff records, including tracking staff Professional Development and continuing education, to ensure all staff are up-to-date and in compliance. Assists with Timecards.
- Assists with classroom activity preparation.
- Provides emergency relief for classroom teachers when ratios need to be met or for observations.
- Tracks and records Rosters/Attendance sheets and employee certification/expiration.
- Maintains Child and Adult Care Food Program spreadsheets/reporting.
- Creates agendas/minutes for program related meetings.
- Develops program guides, information for the website and general marketing for the department.
- Provides support for new staff orientation and onboarding.
- Assists directors in securing substitute teachers/classroom support/Mini Explorers.
- Coordinates Holiday, Graduation, Parent Outreach, Program tours and School Pictures.
- Place classroom orders/track expenditures for WBSD and grants.
- Other duties as assigned.
Qualifications:
- Minimum age of 21 years old.
- Associate’s Degree required.
- Current CPR/AED certification preferred; required within 30 days of hire.
- Must complete and pass fingerprint check.
- Must complete a Health Physical.
- Child Care Teacher certification required or must obtain DPI Substitute teaching license within 30 days of hire.
- The ability to appropriately interact with children at their cognitive level.
- Previous experience in child care and customer service settings.
- Proficient computer skills.

Physical Demands:
- The ability to lift 40 lbs.
- The ability to participate in required physical activities with the children.
