The WelbeHealth Executive Assistant provides key administrative coordination and logistics support to the program operations. In addition, the Executive Assistant provides reception coverage welcoming all staff, and external parties by telephone or at times in person and facilitating communication between staff and or with external stakeholders. The Executive Assistant demonstrates a positive, respectful, and professional behavior in all job aspects and collaborates effectively with colleagues and stakeholders to promote the WelbeHealth values, team culture and mission.
Duties and Responsibilities:
Provide executive administrative support to Executive Director and other members of the management team including:
Drafting written communication as requested
Assist with all creation and updates to forms, WINKS, etc.
Manage travel and expenses.
Take and maintain meeting minutes.
Coordinate schedules.
Coordinate meeting room scheduling and set-up.
Plan and coordinate logistics related to on-site tours and events.
Designated suite safety officer.
Liaison to finance for expense reporting.
Greet and interact with community partners and visitors in a warm and courteous manner creating a welcoming environment.
Communicate with external stakeholders on behalf of the management team (vendors, elected officials, regulators, board members, quality improvement committee members etc.)
Provide back-up reception support as needed.
Remain alert and update the supervisor or any other individuals they support of any observed ethics, compliance, behavioral, or process concerns.
Complete all required documentation in a timely and accurate manner.
Protect privacy and maintain confidentiality of all company procedures and information about team members, participants, and families.
Follow WelbeHealth policies and procedures and participate in any required Quality Improvement activities, staff training and meetings.
Other duties as assigned.
Qualifications and Requirements:
Associates Degree required.
Bachelors Degree preferred
Minimum of 3 years experience supporting an executive or manager as an Administrative or Executive Assistant.
Demonstrated skill with Microsoft Office Outlook, Word, Excel, PPT.
Highly motivated, self-directed, pro-active, able to execute tasks in a quickly changing environment and make sound decisions in emergency situations, strong customer service orientation.
Excellent organizational and communication skills.
Ability to work independently with minimal supervision.
Demonstrated ability to prioritize in a fast-paced environment.
Experience and competency working with people from diverse backgrounds and cultures.
Bilingual English/Spanish preferred.
