Job Summary:
The Executive Assistant will perform administrative work of a complex nature for the VP Sales and VP of Marketing for the Food Business Unit in a fast-paced environment, sometimes under pressure. Remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. This person will interact with senior executives across Newells Business Units and must be exceedingly well organized and enjoy the administrative challenges of supporting a significant workload. Work is performed under the general supervision of the VP Sales, Food Business Unit.
Job Responsibilities:
The Executive Assistant will be responsible for management of day-to-day duties for the VP and the Foods sales and marketing teams, including:
Heavy calendar management, requiring interaction with both internal and external guests.
Ability to coordinate a variety of complex executive meetings, travel schedules/reservations (domestic and international) and travel expenses.
Assist executives with composing and preparing presentation materials.
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
Process invoices and track budgeting and reporting.
Be responsible for planning and delivering all logistic details for internal & external meetings and corporate events including venue selection, set-up, food and beverage, supplies, etc.
Regular contact with Food business unit team members and other departments, furnishing or obtaining information or reports, discussion of controversial subjects and supervisory matters, requiring tact to avoid friction and obtain cooperation.
On-board new team members: Liaison with IT, computer/work area, business cards, phone, orientation meetings, etc.
Ensure contracts and SOWs are properly filed with Legal
Other duties as assigned.
Qualifications
High school degree required plus additional broad specialized training equivalent to 2 years of college. Bachelor's degree preferred.
5+ years of experience as an Executive Assistant.
Excellent calendar management skills, including the coordination of complex executive meetings.
Experience scheduling global travel arrangements.
Strong communication skills (written and verbal) to proactively communicate any issues or observations that will improve the success of the business.
General office management experience, strong computer skills, highly organized; great attention to detail; efficient time management skills.
Strong knowledge of Microsoft Office and Teams, including Word, Excel, PowerPoint and Outlook and experience with creation of PowerPoint presentations.
Superior oral and written communication, judgment/problem solving and persuasive/selling skills
Strong decision-making skills and problem-solving ability.
Capability to build strong organizational awareness and professional relationships
Experience with SAP preferred.
