Operations Coordinator

Founded in 2010, Noonday Collection designs and sells an exclusive collection of jewelry, accessories, and home goods made by artisans around the world. Noonday uses fashion and design to create economic opportunity for the vulnerable by harnessing social selling entrepreneurs across the US that we call Ambassadors. Ambassadors create a marketplace for our artisans by hosting Trunk Shows where they style and share the powerful stories behind the pieces. Noonday caters to the fashionable, creative, and globally engaged who are curious and aspire to impact the world.
The Operations Coordinator oversees regular inventory transactions within the warehouse including receiving purchase orders, maintaining an accurate inventory, quality control management, and order fulfillment. This position is also responsible for space management and organization for both home office and offsite locations. . This position works closely with the Operations Manager to coordinate and support activities of the Warehouse Operations team in the areas of order preparation.
JOB DUTIES & RESPONSIBILITIES
- Receiving Shipments
- Manage communication between Warehouse, Production and Merchandising team for shipment and receiving updates
- Work with Operations Manager and Operations Supervisor to guarantee timely quality control for products from recent shipments and monitor initial product damages upon receipt of new items
- Receive all shipments in alignment with wire payment schedule
- Validate accurate quantities and assortment for all shipments
- Inventory Management
- Oversee and audit inventory counts across various locations and work closely with Accounting to communicate results; investigate discrepancies and issues as needed
- Monitor bin management and replenishment process, including products at offsite storage and assist RMA Specialist with replenishments as needed
- Verify kit location inventory counts monthly and communicate adjustments to Accounting as needed
- Monitor weekly damages through the fulfillment process and adjust inventory as needed to appropriate location
- Maintain organization of all bin locations and WHSE to ensure labels / barcodes are current and space is optimized to support fluctuations in on-hand assets
- Collaborate with Operations Project Coordinator regarding Marketing inventory needs for campaigns throughout the year
- Confirm bin quantities and communicate to internal stakeholders regarding back-ordered or sold-out products; own communication on necessary adjustments for low stock inventory, backorder items and wrong items / missing items
- Monitor wrong and missing item report daily and reallocate / adjust inventory as needed
- Season Launch / Sample Sale Preparation
- Create and maintain all necessary location and item identification including but not limited to; bar codes, product name cards and assigning preferred bins
- Develop and manage process for seasonal changes in inventory locations
- Work with Product and Operations manager to move inventory reserved for Kits and Bundles to the appropriate locations
- Manage and monitor obsolete inventory location as needed
- Establish and maintain process for Sample Sale preparation and execution
- Oversee Daily Operations Processes
- Maintain proficiency with printing and preparing picking tickets for all order types
- Provide training and technical support for shipping processes
- Track packaging and shipping costs throughout the year as well as provide cost analysis for any changes made
- Coordinate implementation of key technical operational projects; develop and maintain project timelines
- Create and maintain clear and accurate operations documents/procedures for reference purposes
- Customer Support Liaison
- Act as liaison between Customer Service and Fulfillment team on canceled or changed orders, shipping, and address validation issues
- Audit open orders
- Launch Readiness
- Create and manage operations launch readiness plans; partner with cross-functional teams to ensure pre-launch activities are completed
- Maintain operations calendar, ensure key milestones/deadlines are being met in planning, order fulfillment and launch readiness
- Create training documents for each new seasonal product line
- Cross-functional Project Support
- Liaise with other Project Coordinators to identify and define project requirements, scope and objectives for marketing and sales projects as they relate to Operations
- Ensure fulfillment and timely delivery of marketing and sales giveaways, including influencer orders, conference donations, and monthly Rockstar gifts
- Liaise with Sales, Marketing, and Operations Manager to coordinate fulfillment of seasonal incentives to hostesses and ambassadors
- Work with Product team on product documents, guides, and pulling items for buys and photoshoots
- Collaborate with Sales Team to update STCs and business tools packaging as needed
- Provide additional administrative and operational support to Creative, Product, Sales, and Marketing teams, as needed
- Evaluate and recommend packaging updates as needed based on brand recognition and product quality initiatives
MINIMUM QUALIFICATIONS
- HS Diploma or equivalent, Bachelors preferred
- Proficient with MS Office, including basic Excel skills
- Experience with handmade goods a plus

PHYSICAL REQUIREMENTS
- May involve some repetitive motions
- May be required to stand or sit for long periods of time
- Must be able to lift up to 50 pounds
- May also engage in frequent bending, stooping, squatting, pushing and pulling of product and containers
- Will be required to use box cutters for opening shipments
SUPERVISORY RESPONSIBILITIES: None
JOB CONTACTS: This position will work closely with Product, Customer Support, Sales & Marketing, and Warehouse Operations, particularly the Operations Manager.
