SDA Portfolio Administrator

Position Summary Odyssey Systems has an exciting new opportunity providing Administrative Support to the Ground Based Optical and Passive RF Portfolio in the US Space Force, Space and Missile Systems Center’s Special Programs Directorate. The Ground Based Optical Passive RF Portfolio executes requirements engineering, architecture development, system acquisition, modernization, and sustainment for ground- based optical and passive radio frequency (RF) Space Domain Awareness (SDA) sensors. Activities include architecture development, system acquisition and modernization, and fielding for the next generation of Space Domain Awareness sensor systems. Responsibilities Duties include, but not limited to: Portfolio Administrators operate with broad direction, applying a deep knowledge of administrative processes, procedures, tools and protocol to perform a robust range of administrative tasks, such as maintaining executive schedules and communication, overseeing the administrative operations of a large office or organization, and coordinating large events requiring substantial discretion and attention to protocol. The Ground Based Optical and Passive RF Administrator supports the Portfolio lead and staff (approx. 30). Duties include, but are not limited to: Manage the Portfolio Lead’s dynamic calendar and travel schedule, interfacing with senior officers/executives from multiple military commands and intelligence agencies, and facilitating communication between the Division and Portfolio leadership and team Schedule and prioritize meetings/events to maximize the Portfolio Lead’s time, ensure realistic scheduling, identify meeting participants, subject matter experts (SMEs) and required materials to thoroughly address meeting topics Develop, organize, and setup meetings to include weekly staff meetings, financial and program reviews, execution reviews, and other meetings as needed Support the Portfolio Lead, Program Managers, and staff to communicate program issues or concerns, and to request and advocate for executive decisions, intervention, and support Arrange travel plans for the Portfolio lead using the Defense Travel System, to find and book optimal flights, lodging, and ground transportation to meet mission requirements Assist with preparation of travel vouchers in the Defense Travel System following trips and perform records management and gather/develop all necessary paperwork/documentation in support of EA SDA Draft, review, and edit correspondence to ensure compliance with standards, including Tongue and Quill, Directorate and Division guidance, and templates Help ensure the Portfolio Lead is thoroughly prepared for each event on his schedule, to include scheduling preparation time, providing read-ahead materials, biographies of participants, subject matter experts, and arranging advanced meetings, as required Prepare correspondence, handle information requests, and perform functions such as answering phone calls, organizing and scheduling meetings/VTCs, arranging conference calls, receiving/escorting visitors, writing meeting minutes as required, making copies and managing functions such as mail, courier service, records management, etc. Track and manage work tasks/action items using AFSPC’s Task Management System (TMT) Assist security personnel and visitors with security clearance verification, building access, data transfers, processing visit requests, etc, as required Other duties as required/requested by the Government and within scope of the S3 contract Qualifications Proven work experience supporting Senior Executives in a similar role working in a classified environment Strong interpersonal and communications skills (phone, email and in-person) Proven ability to work collaboratively and effectively in fast-paced environment Exceptional writing skills and ability to effectively communicate with senior government and industry leaders Familiarity with standards and experience preparing and routing correspondence in a Space Force, Air Force, or other DoD organization Proficient with security processes and procedures (e.g., document marking/handling, generating and transmitting classified visit requests) Strong experience with office management procedures, equipment and information management systems such as on-line calendars, AFSPC Task Management Tool (TMT), security clearance visit request information systems, etc. Proficient in Microsoft Office applications (i.e., Word, PowerPoint and Excel) Exceptional professionalism and proven experience exercising discretion and confidentiality with sensitive organizational and personal information Current Secret clearance, eligible for upgrade to TS/SCI Additional Information: This position is located in Colorado Springs, CO.
