Job Description

Acara Solutions is seeking a bright individual for a unique Customer Service Coordinator opportunity with our client in Northwest Austin (78730). This is an onsite, direct hire role with excellent benefits. 60k salary plus 15% bonus.

Due to the nature of our business, work shifts may fluctuate dependent upon vessel arrival schedules and operational requirements. The incumbent may be required to work weekends, night shift and long hours during the week and adapt to changes in work schedules as needed.
Accountabilities include:
  • Develops and maintains positive customer relations by effectively addressing customer needs.
  • Ensure that all information received from line/agency regarding cargo is accurate and complete.
  • Monitor shipments before they arrive and resolve and problem, which may cause a delay in cargo availability.
  • Coordinate with Port Authorities, Governmental and Regulatory Agencies to ensure availability or services, and compliance with tariffs and regulations.
Essential Functions:The following describes the general nature and level of work, but not intended to be a comprehensive list of all activities, duties, and responsibilities required of the job incumbent. Consequently, job incumbents may be asked to perform other duties as required. INBOUND
  1. Obtain dangerous cargo certificates and POLA permit from Line or Agency. Prepare the required documents for the driver.
  2. Work with U.S. Coast Guard when inspections or hazardous documents are requested.
  3. Coordinate the delivery of break bulk cargo with Line or Agency, trucking companies and related departments.
  4. Coordinate various inspections and surveys to be conducted on dock,and follow up to ensure that the job is complete and all parties notified.
  5. Report discrepancies on hold tags to Line, Agency and government agency, (U.S. Customs and/or U.S.D.A.).
  6. Prepare daily collection report and surrender all payments to Accounting Department. Mail receipts to the proper party.
  7. Submit requests and assemble manifest to POLA for storage and/or assembly time.
  8. Re-rate and report demurrage and storage reports to POLA.
  9. Prepare inbound collection recap reports for demurrage invoice to Lines.
  10. Send aging reports to clients for containers that are on-dock past the free time.
EXPORT
  1. Monitor and verify dangerous bookings and their required documents. Obtain necessary corrections, additions, approvals, and proper identification of shipments prior to arrival on terminal.
  2. Coordinate break bulk shipments, reefer temperature discrepancies, damaged loads requiring repair or transload, export loads moving off dock and loads arriving on dock via rail, identify and alert Marine personnel of any special stow requirements.
  3. Assist the Line personnel in arranging various inspections, fumigation, or surveys to be conducted on dock, and follow up to ensure that the job is complete and all parties notified.
  4. Relay to the Line any problems which prevent drivers from delivering loads. Ensure that the correct information is obtained prior to the trucker arriving at the facility and follow up until the problem is resolved.
  5. Work with U.S. Coast Guard, Customs, or USDA when inspections or hazardous documents are requested. Coordinate with yard operations and Line for off-dock movement and seal changes.
  6. Record and file any unusual or important incidents or changes.
  7. Rotate on-call for weekend gates.
CUSTOMER SERVICE CALLS
  1. Instruct customers on how to use TraPac website and VRU automated system.
  2. Advise last free day information
  3. Quote demurrage charges and rates.
  4. Explain hold status and advise inspection schedule
Starting rate is $60k with 10% bonus.


Required Skills / Qualifications:
  • High School Diploma
  • College credits or undergraduate degree/accreditation in business administration or appropriate maritime college degree.
  • Minimum 3 years in transportation and/or shipping industry with emphasis in documentation and intermodal transportation
Preferred Skills / Qualifications:
  • Working knowledge of NAVIS terminal operating system preferred
  • Knowledge of all documentation procedures including customs clearance, hazardous cargo, rail movement, etc.
  • Knowledge of cargo restrictions and demurrage charges.

  • Communication skills (familiar with foreign language helpful, i.e., Spanish)
