Job Summary
Coordinate purchasing, accounts payable and payroll functions; assist plant management with cost
accounting responsibilities; as well as assist with production-related administrative duties,
compilation of data and preparation of reports.

Essential Functions & Responsibilities
1. Execute all plant purchases via credit card and SAP purchase orders.
2. Receive and process invoices; codes & dates invoices and forwards to VF as well as maintain an
identical copy at plant.
3. Receive and process Payroll data. Maintain local payroll records on a weekly, quarterly, and annual
basis.
4. Handle customer service calls from vendors and suppliers in regards to payments, orders and receipt
of orders, and purchase orders.
5. Maintain plant checkbook and compare SAP to checkbook to track expenses on a monthly basis.
6. Maintain filing records for purchase orders, requisitions, invoices, and packing slips as well as
previous year records.
7. Responsible for procurement, maintenance, and lease agreements of office supplies, equipment,
tractors, trailers, and security systems. As well of any other lease or contracts for uniforms, janitorial,
etc.
8. Maintain and coordinate Contractor Safety training on an annual basis. Maintain the records for
contractors such as employee training, up to date insurance certificate, OSHA Log, Insurance rating,
and copy of contractors’ safety manual.
9. Project Team Duties
10. Maintain GR/IR imbalances on a weekly basis to control those items do to timeliness not exceed 90
days old.
11. Maintain blocked invoice report on a weekly basis to ensure vendor payments are not held up due to a
GR/IR imbalance.
12. Back up and perform duties as requested daily from Unit Managers such as setting up visits &
meetings and returning phone calls.
13. Coordinate admin details of guest visits to plant such as meals, coffee, etc. as well as items need for
site meetings, and other large plant gatherings.
