Job Description:
Provides administrative support to Specialized Fiduciary Officers, Team Leaders, Group Manager and National Executive, Settlement Officers, Estate and Market Directors (ESMD) who manage a book of wealth transfer accounts.
Working independently, but closely, with one or more ESOs (Officers and Team Leaders) to ensure accurate and efficient delivery of services; will be responsible for accomplishing tasks consistent with policies and procedures, preparing internal and external documents related to account administration, and performing account maintenance activities and transactions, including but not limited to Client Relationship Workstation (CRW), Trust Web, PACE, Know your Customer (KYC) Tool, Interact, Administrative Review System (ARS), Settlement and Account Closing Portal (SAC), and Imaging Portal (FIRST).
Coordinates information and activities with external business partners (Attorneys, CPAs, Fiduciary Accountants, third party vendors, etc.) and with internal support partners (FAs, Sales, Tax, Compliance, SAM, ART, Operations, Technology Groups and Trust Administration, etc.) as needed. Will have extensive client contact, including addressing client problems and concerns verbally and through written communication. Will perform other administrative tasks such as filing, copying, telephone coverage, ordering supplies, drafting and mailing letters, etc. College, Paralegal training, or equivalent experience desired. Excellent verbal and written skills required. Working knowledge of Word and Excel required. Working knowledge of PACE, Pierce, Trust Web, CEW, and CRW a plus. Provides support for both PACE and Merrill Lynch estates and trusts. Will have a dual workstation with the separate systems and platforms. Extensive contact with Financial Advisors, clients, and COIs. Non-licensed associate.
May be accountable for managing the smaller, less complex situations that require a lesser degree of technical expertise and knowledge Responsible for routine administrative duties, such as performing account maintenance, processing transactions, file retrieval, optical imaging, filing, copying, ordering supplies, making and answering telephone calls, writing routine letters/e-mails and other tasks as required to administer accounts and serve client needs.
May be asked to participate in projects, prepare reports and conduct research. May act as a point of contact for clients and internal/external partners and as a backup for the Officers. The SFA II is supervised and supported by a Specialized Fiduciary Officer. BS/BA or equivalent experience helpful.
